What Does the Invoice Template Include?

Mandatory Information on a Car Invoice
According to §14 of the German VAT Act (UStG), the following information must appear on every invoice:
- Full name and address of the supplier
- Full name and address of the recipient
- Tax number or VAT identification number of the issuer
- Sequential invoice number
- Date of issue of the invoice
- Date of delivery or service
- Type and scope of delivery (vehicle description, VIN)
- Net amount, tax rate, and tax amount (for standard taxation)
- Gross amount
- For margin taxation: Note “Margin taxation pursuant to §25a UStG” instead of tax disclosure
When Do I Use Which Invoice Type?
- Standard-taxed Invoice: When the vehicle was purchased with input tax deduction (e.g., from a leasing company, company car with VAT disclosure)
- Margin-taxed Invoice: When the vehicle was purchased from a private individual or small business owner (without VAT disclosure)
- Tax-exempt Invoice: For export deliveries to third countries or intra-community deliveries
Tips for a Professional Invoice
- Use sequential, gap-free invoice numbering
- Always include the VIN (Vehicle Identification Number) – it uniquely identifies the vehicle
- Set a clear payment term (e.g., 14 days) and offer early payment discounts where applicable
- Retain invoices for at least 10 years (statutory retention requirement)
- Send invoices by email as PDF – this is legally equivalent
